Job Description:

The Office Manager plays a key role supporting the staff and senior management needs and concerns as well as maintaining the facility.

The objective of this is to maintain an organized workable environment and to develop business relationship with the building managers and outside sales vendors. The Office Manager must communicate effectively and diligently with senior management as well in reporting concerns to building engineers. Must develop and implement a cohesive and effective working environment and set business standards in place.

Main Job Functions/Tasks

Facility Management & Planning

  • Support Managing Directors
  • Oversee schedules and manage the reception, admin, and mailroom staff
  • Maintain the schedule and physical appearance of the office
  • Manage office billing partnering w/ Finance Dept.
  • Maintain updated Floor Plan - Reconfigurations - Internal Moves
  • Coordinating Fire Drills and practicing facility policy and procedures
  • Office Maintenance/Repairs/Electrician walkthroughs
  • Ordering Supplies/Purchase office Equipment
  • Order all business cards for senior managers
  • Organize/Coordinate Special Events/ Scout Event Sites
  • Trouble Shooting /organizing workflow to maximize productivity
  • Coordinate cleanup with ArchivesOne storage facility
  • Establishing business relationships with outside vendors
  • Demonstrating flexibility at all times in using personal judgment and adaptability in approaching work related concerns
  • Ensuring completion of assigned tasks by members of the team and having assertiveness to report/address issues/concerns.
  • Maintaining a professional outlook with the staff

· Ensure new employees are setup with access and building ID cards and to Seamless Web

Reporting

§ Report to the HR Manager and Managing Director costs for maintenance issues and cost comparison for vendor usage.

§ Provide feedback to the HR Manager and communicate to them any open and unresolved concerns.

Service Levels

§ All requests from Senior Managers acknowledged within 24 hours indicating to manager when request will be fulfilled

Education

§ BS or BA in a Business related field (essential)

Experiences

§ 5 years post graduation experience with at least 3 years in a high volume environment

§ Demonstrated experience of delegating and managing an office space of more than 200 people

§ Strong business/customer service orientation essential
